Q: What Google Account permissions does G-Integrator for Zoho Books require and why?A: Please check the screenshot and the list below:
- See, edit, create, and delete your spreadsheets in Google Drive™: we need this to insert content from Zoho Books to your spreadsheet, make a backup copy of the spreadsheet (under development right now), etc.
- Connect to an external service: This is obvious: Zoho Books is an external service.
- Allow this application to run when you are not present: we need this to run your scheduled workflows.
- Display and run third-party web content in prompts and sidebars inside Google applications: All our UI part will be shown to you in prompts and sidebars.

Q: I get a "Bandwidth quota exceeded" error.A: This is a Google Workspace limit, not a G-Integrator error: each Google account may transfer 2 GB per day, cumulatively across all add-ons, scripts and integrations. When the cap is reached, Google pauses transfers until the 24-hour cycle resets. To resolve and prevent it:
- Wait 24 hours for the quota to reset.
- Check for other add-ons or scripts sharing the same quota.
- Change "Hourly" refreshes of large datasets to "Daily" or "Twice daily".
- Filter at the source to import fewer rows and columns.

A: Use the cloud templates feature to share the template with [email protected]. Sharing a working and a non-working template side by side speeds up diagnosis. Please paste example records as text rather than screenshots.

Q: All my automations failed at the same time with a server error (e.g. 504).A: This indicates a temporary problem on the G-Integrator server side, not in your templates. Retry after 15–20 minutes; if the error persists, email [email protected] — no changes to your templates are needed.

Q: I've changed data in Zoho Books and refreshed the spreadsheet. However, I do not see changes in the spreadsheet.A: We use cache to keep downloaded data for 30 min., both for performance and to decrease the number of calls to Zoho API (we have a daily limit and should pay if we exceed it). This explains why you do not see changes immediately. You have the following options:
- Wait for 30 min. since the refresh.
- Using "G-Integrator for Zoho → Modify/Delete Pull templates" menu, change the query: add or remove column, change filter, etc. This will be considered as a new query.

Q: I have multiple ZOHO Books accounts. How can I synchronize them in a single spreadsheet?A: To synchronize multiple ZOHO Books accounts, please do the following:
- Login into your ZOHO Books Account by clicking the "Zoho Books Sign In" menu.
- Create download or upload templates.
- If necessary, create workflows for the automatic synchronization.
- Log out from your Zoho Books account by clicking the "Sign Out from ..." menu.
- You still will be able to execute all your saved templates.
- Repeat steps 1-4 for any additional Zoho Books account.

Q: What custom financial reports are available?A: Click "G-Integrator for Zoho Books → Reports" and select one of the built-in custom reports:
- The "Collections & Cash Flow" Dashboard (Aged Receivables): see who owes you money and how long their invoices have been overdue.
- The "Bills to Pay" Dashboard (Aged Payables): track your own overdue bills and plan outgoing payments.
- Budget Vs Actual Report: compare your planned budget against actual expenses and revenues to identify variances.
- Product Margin Report: analyze the profitability of individual products or services to optimize pricing and inventory.
- Project Profitability Report: measure the financial success of projects by comparing costs against project revenues.
- Customer Profitability & Lifetime Value (LTV): find out which customers bring the most value over time.
- Expense Breakdown by Category: see where your money goes, grouped by expense category.
- Estimate Conversion Rate (Quote Win Rate): track how many of your estimates turn into invoices.

Q: How do I run a custom report?A: Click "G-Integrator for Zoho Books → Reports", select the report, choose the columns you need, add optional date and entity filters, and click "Execute" — the report data lands directly in your sheet. Each report is saved as a refreshable template, so you can re-run it at any time or refresh it automatically with a workflow.

Automation

What is worklflow and how to use it?Workflow allows you to synchronize the Spreadsheet with Zoho Books automatically, by the schedule. Using the workflow, you can:
- Add more than one template to be executed in the selected order
- Turn the execution on and off without changing the schedule
- Add or remove templates to the workflow
- Pre-load the data to deal with the extremely long queries
- Using the menu: "Get Module records" or "Modify/Delete Pull templates", create/modify the templates to download data you want the workflow to refresh.
- Repeat this operation for as many modules as you need.
- Using the menu "Automation → Create Workflow", setup the workflow:
- Enter the name and the description
- Add the templates in the desired order
- Setup the schedule
- (Optional)Check the "Pre-load long queries" if it will take more, than 6 min to execute the workflow
- If you want, turn on email notifications
- You can click "Execute immediately" to check how it works
- By default, the results of each execution will be written to tab "Automatic Operations Events Log"

Q: A workflow fails with "Unable to locate sheet "…" with ID …".A: A template in the workflow points to a tab that has been deleted or renamed. Open "Automation → Update/Modify/Delete Workflows", remove or re-point the template, or re-create the tab.

How can I download only the new data?A: If you have many records, the full download can take a lot of time. To resolve this, you have the option to download only data created or modified since the last download. To achieve this, please do the following:
- Using the menu: "Get Module records" or "Modify/Delete Pull templates", create/modify the query.
- In the tab "3. Select the field to filter by (optional)", add filter "Since last execution" for the "Modified Time" or "Created Time" field ( screenshot).
- Attention: by default, each new download will erase the previous data. To avoid this, please use "Add to the previous output" option (see below).

How can I add downloaded data at the end of the existing data?A: Please do the following:
- Using the menu: "Get Module records" or "Modify/Delete Pull templates", create/modify the query.
- In the tab "2. Change Pull Settings (optional)", select the "Add to the previous output" checkbox ( screenshot).
- This is an experimental feature. The query results will be added to the end of the existing data in the spreadsheet.
- If you have one or more "Order By" criteria, the WHOLE dataset will be re-sorted, so the most recent data may become located not at the bottom.
- Please do not modify any existing data or change columns: the result can be unpredictable.
- Please be careful because it can generate duplicates. We recommend using the "Since last execution" date filter to avoid duplicates.

How can I use my own format for the Currency fields?A: By default, we will format all Zoho fields with type "Currency" using an ISO 4217 for the location settings in your Google Spreadsheet. If you want to change this format, you can do the following:
- In the tab "2. Change Pull Settings (optional)", uncheck the "Format currency fields using Organization's currency" checkbox ( screenshot).
- Using the Google Spreadsheet "Format" menu, change the column's format to desired one.
Q: Is it possible to use G-Integrator for Zoho Books on my smartphone?A: The G-Integrator for Zoho Add-on not designed to work on mobile devices: first of all, the "Google Sheets™" app does not support Add-ons. However you can open your spreadsheet from a mobile browser using "Desktop" mode, and from it, you will be able to use some restricted functionality, like refreshing.Also, while working on the PC, you can set-up the automatic data synchronization using "G-Integrator for Zoho → Get Automation" menu. After this, you will be able to see updated data from the "Google Sheets™" app on your smartphone.Q: How to change the columns' order in the spreadsheet?A: By default, columns in downloaded data sorted alphabetically. To change the sorting order, please do the following:- In "G-Integrator for Zoho → Get Modules Records" or "G-Integrator for Zoho → Modify/Delete Pull templates" click on tab "2. Change Pull Settings (optional)"
- Uncheck the checkbox "Sort resulted columns alphabetically"
- Click on the tab "1. Select the module and the fields to get data." and select required columns. The columns will be ordered in the selection's order, so, if you will first, select column: "Deal Name" and then "Amount", in the spreadsheet you will see "Deal Name" and "Amount", exactly in this order.

Q: How do I add licenses / seats for colleagues?A: Either add team seats yourself in the Subscription Manager, or email [email protected] the addresses of the new users and we will add them to your existing subscription so everything stays on one invoice. Additional seats on an existing subscription get a discounted price.

Q: I am charged twice — a yearly and a monthly invoice.A: Two subscriptions exist under two different Google accounts (for example, a yearly one under a shared mailbox and a monthly one under a personal address). In the Subscription Manager, sign in with each account to see which subscription it holds; cancel the one you don't need via the "Chargebee portal ↗" link, or email [email protected] with the invoice numbers and we will consolidate them.

Q: Which user is my Customer ID linked to?A: The Customer ID on the invoice is tied to the Google email that created the subscription. Email [email protected] with the Customer ID or invoice number and we will confirm the account.

Q: What happens after I cancel?A: The subscription remains active until the end of the paid term; you keep full access until then. Within the first 30 days you can request a full refund; after that a pro-rated credit is generated. Cancellation can be done from the Subscription Manager or by emailing [email protected].

Q: My card payment failed — what happens to my subscription?A: You will receive a payment-due email with a link to update the payment method. Unpaid invoices lead to automatic cancellation; once payment is received, support reactivates the subscription. If you believe an amount due is wrong, reply to the email with a screenshot of the invoice.
